TAPA Education Administrative Assistant

Overview: (PT 14-20 hours/week, $15 per hour)

The TAPA Education Administrative Assistant is the face to greet students and families upon arrival at Toledo Ballet. The Administrative Assistant interacts with parents, students, and faculty, providing reliable information and excellent customer service. The position will provide clerical support for all TAPA Education programs.

Success in this position will be marked by increased productivity of colleagues, and satisfied customers.

The TAPA Education Administrative Assistant will report to the TAPA Director of Business Operations, Education.

Responsibilities and Duties:

  • Focus on the day to day, week to week work of keeping the department running smoothly.
  • Prepare copy for e-blasts and other communications for TAPA marketing; export lists as requested
  • Communicate with parents via Jackrabbit regarding changes to schedule, etc.
  • Offer clerical support for Toledo Ballet location staff
  • Staff studio front desk
    • Control security access to building
    • Open building as necessary
    • Address immediate on-site situations
    • Answer general and specific parent/student service inquiries on site
    • Answer phone inquiries (see above) – refer calls as needed
    • Onsite instructor support as needed – studio technology support – sound system/supplies
    • Enter and process “routine” student and class activities in Jackrabbit system
      • Registration/transfers/withdrawals for classes and events
      • Maintain student/parent/family contact information
      • Accept payments when needed
      • Absence posting/ Schedule makeups
      • Class rosters and schedule postings
      • Email instructor communications to parents and guardians

Expectations:

  • Ability to communicate effectively, both orally and in writing.
  • Effective time management skills with the ability to prioritize.
  • Excellent customer service.
  • Adherence to policies as set forth in the TAPA Employee Handbook.
  • Basic computer skills, including experience in Word and Excel, with an eagerness to learn additional operating systems (such
    as Jackrabbit, the Academy’s registration software).
  • Present the Toledo Alliance for the Performing Arts and its affiliated programs in a professional manner.
